ADMINISTRATIVE ASSISTANT - ENGINEERING SUPPORT

Candidate Profile:
The Administrative Assistant provides support to Engineering Department Managers in the Edmonton office. In our fast-paced work environment, you will be responsible for carrying out a variety of tasks that are important to the operation and administration of the organization.
Key Responsibilities:
Duties include, but are not limited to:
Provide day-to-day administrative support to Senior Leadership:
- Coordinate with office activities with receptionist and marketing.
- Provide support for IT-related administration, including:
- Manage extensions and updating phone management software
- Manage software licenses and user access
- Coordinate IT equipment purchases and pickups (keyboards, mice, headsets, etc.)
- Managing equipment returns, repairs, and warranty claims
- Ordering and maintaining plotter ink and paper supplies
- Coordinate vehicle maintenance for company vehicles on an as-needed basis, including:
- Schedule semi-annual major inspections in alignment with seasonal tire changes
- Schedulie oil changes and periodic maintenance for 5 fleet vehicles
- Arrange and take vehicles to maintenance provider.
- Coordinate office and facility repairs and maintenance, including liaising with vendors
- Doors and access systems
- Schedule supplemental office cleaning services, such as spot carpet cleaning, as required.
- Mechanical systems (e.g., furnace issues, filters, thermostats, plumbing fixtures)
- Electrical systems (e.g., outlets, lighting, ballasts, data ports)
- Control inventory of consumable office items for the kitchen and washrooms.
- Using a company vehicle, carry out errands to refill stores.
- Assist with internal meetings, lunch-and-learn sessions, and small office events.
- Assist with procedure creation and upkeep of office documents and templates’
- Maintain the digital standard library and update with new standards as they come available.
- Maintain the listing of engineering licenses and renewals.
- Provide administrative support in preparing and formatting project documents such as specifications and reports.
- Assist with formatting and review of reports, specifications, letters, and other engineering documents.
Compensation Range:
$60,000-$65,000
Professional Qualifications & Experience:
Education:
- Minimum completion of High School Diploma; Post-Secondary certificate/diploma from an administrative assistant program is considered an asset
Experience:
- 5 years of related experience in administration and office management
- Familiarity with the professional services environment would be an asset
Skills:
- Intermediate to advanced level skills with Microsoft Word, Excel, Outlook and Adobe Acrobat. A general aptitude for computer usage.
- Customer service oriented with exceptional phone and email etiquette
- Fast learner with a desire to grow professionally and personally
- Team player with ability to work independently and with minimum direction
- Demonstrated effective verbal and written communication skills. Typing ability exceeding 60 words per minute.
- Focused attention on detail and accuracy
- Ability to prioritize, multi-task, and stay focused
- Hard worker who readily and quickly assumes responsibility; who is punctual, dependable
- Positive and respectful attitude
